No matter how good your resume is or great your interview skills are, you need to use numerous search methods simultaneously to find as many job leads as possible. At your disposal today are many online and elec- tronic services like the Executive Connection that can give you a competitive edge in finding employment. For example, using a personal computer, and the Executive Connection you can gain access to thousands of job listings, list your availability in a resume database or send your resume to hundreds of recruiters and send e-mail responses to specific job openings all in a matter of a few minutes. Online and electronic resources supplement but do not replace the trad- itional methods. Just because these services are available doesn't mean you should ignore traditional ways to job hunt. Don't forget about networking, direct application, recruitment ads, employment services and mass mailings. THE BASIC ONLINE TOOLS A few tools are more or less essential in the online world. If you do not have programs that include most, if not all, of the following features now is the time to obtain them. A wide variety of excellent shareware programs are available for DOS & Windows. Communications software is the program that links your modem and your computer's operating system. Many new users have problems with their communications programs, become frustrated and lose interest in online services. Using a decent communications software package can make online systems much friendlier places to visit. Programs that came bundled with a modem, particularly a fax modem, or programs designed for a specific online service such as AOL are rarely satisfactory. Ideally you should have a communications program that includes most, if not all, of the following features: Communications Program (1) A method of transferring files. Most any protocol, other than ASCII will work but the ZModem protocol is preferred. The Kermit protocol might be needed for certain types of systems. (2) Video Display\Emulation Modes should include ANSI and VT100. Normally you will be using ANSI but some systems require VT100 or VT101 emulation. You do not need a color monitor. (3) DOORWAY mode may be required on certain systems or to use certain programs on a system. DOORWAY gives you access to the full keyboard. Helpful but not essential. (4) A session capture feature that records online activities and displays. Not absolutely essential but it is very handy to be able to search and read messages in the nonstop display mode and capture the information to a text file. Please note that a screen capture feature and a session or text capture feature are not the same functions. Offline Mailreaders It is essential that you have an offline mailreader that will manage QWK mail packets. Most recently released readers should be satisfactory. While none of the following features are essential they will save you varying amounts of time and effort. (1) The ability to save one or more messages from a QWK packet or the ability to export messages to a text file or printer. (2) The ability to import a text file into the mailreader or the capability of permanently saving a message you created. (3) A search or find function that will scan messages or message headers for keywords and phrases. Utility Programs The one utility program that is absolutely essential is the most recent version of pkunzip (PKZ204G.EXE). You must have pkunzip available and you must know how to use it to unzip/unpack files ending in the extension .zip. We use and recommend a variety of other utilities to save time and effort: (1) FileBUDDY (FB315.ZIP) is a very handy shareware program that allows you to view, search, and manipulate the contents of a zip file without have to unzip the file. (2) Qedit (QEDIT3C.ZIP) is an excellent shareware text editor with loads of time saving features. There are simply more job hunters available than job openings and large numbers of skilled and experienced people are competing to fill the more desirable positions. Today's job search demands both time and energy and you will have to work longer, harder and smarter than you anticipated in order to land your next position. If you're unemployed, job hunting is your new, fulltime job. Plan to spend 40-50 hours per week on your job search. In order to have a competitive advantage in today's market, you will need to use numerous search methods simultaneously to uncover as many job leads as possible. As Tom Jackson states in Guerrilla Tactics in the Job Market, "It's not the most qualified persons who get the best jobs, it's those who are most skilled in job finding." Hundreds of books and articles have been published on every aspect of the traditional job search campaign. Subjects such as developing a support team, self assessment, networking, resumes and cover letters etc. have resulted in the premature death of more trees than agent orange. Therefore, there is no need to duplicate much of this information in any detail. The purpose of this program is not to rehash information that is readily available. The section on Executive Recruiters is a bit long because it has been my experience that the role of recruiters is often mis- understood or viewed with suspicion by the general public. The following is a very brief and incomplete overview of the traditional job search campaign along with a few tips from my experiences. If you are uncomfortable or unsure about any aspect of a traditional campaign now is the time to visit the library or bookstore and obtain one of the many excellent guides available. SEARCH TIPS & TECHNIQUES Organize a resource team to help you with your job search. An organized team can make make the whole process much easier, and more successful. Assign as many research and clerical duties as possible to the team members in order to concentrate on your main responsibility of contacting companies to inquire about employment possibilities. Establish a schedule and deadline for specific tasks to be completed. Outline your daily activities and set aside specific times for the various elements of your job search. Every job search activity has an opportunity cost. Your priorities should be directed at those activities which must be completed immediately to be of any value (answering an employment ad) and those one time activities which can be expected to produce future dividends (mass mailing to recruiters). Set up a work space. Have a phone nearby. Keep a typewriter or computer, stationery, envelopes, stamps, copies of your resume and phone directories handy. Choose a quiet space where you will be free of interruption. Install call waiting and an answering machine on your telephone. Your greeting should be short and professional. Check your messages often. If teenagers reside in the home install a second phone line. Keep a record of all your contacts. Your record should include the name, address and telephone number of the company, the name of the person contacted, whether you called, visited or sent a resume, what your next step is, when you should take it and any other relevant information. Keep a record of all employment advertising responded to. Your record should include the actual advertisement, source, date responded and notations identifying resume and cover letter versions. Have some personal business cards printed with your telephone number and profession. Whenever you meet someone new, exchange business cards. Use word processing software to produce various versions of your resume and cover letter. All your written communications should be professional and appear to be specifically created for the recipient. Invest in a good quality laser printer and use only top quality white bond paper. Laser printed resumes can be bulk copied on white bond paper at most copy shops. TRADITIONAL METHODS There are really only five basic methods to finding a job outside your current company: (1) Personal Contact & Networking. Personal Contact involves getting in touch with people you already know. Networking involves getting in touch with a series of people others referred you to. (2) Executive Recruiters. Professional employment placement agencies that help client organizations fill specific positions. (3) Other employment agencies & associations. (4) Direct Mail involves mailing a cover letter and resume to companies of interest. (5) Direct Response to employment advertisements. Personal Contact & Networking Personal Contact involves getting it touch with anyone you know who might have information about a job opening. Typical contacts would include family, friends, relatives, social acquaintances, professional acquaintances, present and former co-workers etc. Tell them that you are unemployed and looking for a job. Give them a brief review of your background and be specific about the type of position you're seeking. Most people you know will be happy to help you if they can. Ask each contact to call you with any information that they may obtain that may help you find a suitable position. Most importantly, ask them if they know two or three other people you can contact. Then contact those people and so on. Networking is the process of contacting people who can either give you information about potential job openings or introduce you to others who have this information. The ultimate goal of networking is to meet the person who has the authority to hire you for the job you want. The distinction between Personal Contact and Networking is often confusing to individuals new to the search process. Personal Contact refers to contacting people you already know and directly asking for help and assistance. Networking refers to contacting people you don't know to get introductions or referrals to the appropriate hiring authorities. Networking can be very effective but it is very time consuming and it is not a task that can be delegated to the support team. It is also an approach to finding a job that is so well known in the business community that it is difficult to mask motivations. It is not "new" "secret" or the golden key to unlock the so called "hidden" job market. Networking definitely plays a key role in any job search campaign but it is just one of many techniques in the campaign arsenal. Executive Recruiters The executive search process is one that is sometimes difficult to understand by someone who has never done, or been a significant user of search work. In general recruiters can be grouped into two broad categories, according to the nature of the client relationship and compensation and expense reimbursement arrangements: Retainer Search Retainer Search Firms: Retainer firms have an exclusive on their assignments; no other firm is engaged to fill the position. Typically they are paid one-third of their fee when the contract is signed to begin the search, with the remaining two-thirds paid over the course of the assignment, whether or not the position is filled. Expenses incurred are reimbursed by the client company. Retainer firms may or may not specialize in certain functions or industries but generally will accept a search assignment in any field. Retainer executive search is very much a relationship business. It is not unusual for a firm to be conducting a variety of searches for positions located in many different geographical areas. Retainer search firms serve their clients by finding qualified candidates for their clients' positions and not by finding appropriate positions for qualified candidates. Employers work through a third party for any number of reasons: confidentiality, better access to competitors employees, pre-screening of prospective candidates, faster and more objective results, and less of a burden on management than if the recruiting were handled internally. Retainer search firms are retained to fill important executive, managerial and technical positions. As such, no consultant should take your resume or background information and send it to an organization unless that consultant is working on a specific assignment. A resume reaching the right recruiter at the right time can result in an immediate interview. Timing and qualifications relative to the position being filled are the critical factors. If a recruiter isn't currently working on a search assignment compatible with your background, objectives, salary level, or even location, there is no match. However it not unusual for a search firm with a well- organized computerized data entry and retrieval system to initiate contact with a candidate months or even years, after the initial mailing. Contingency Search Contingency Search Firms: Contingency firms may or may not have an exclusive assignment from a company. In contingency search, the employer pays the fee, but only if a hire is made. The fee is therefore "contingent" upon placement of a candidate. Their expenses are often not reimbursed by the client. It is common for a number of different contingency firms to be searching for candidates to fill the same job opening. Contingency recruiters handle a wider range of situations and may have excellent contacts in particular industries or segments of the job market and may "shop" or actively promote a particularly attractive candidate. Contingency recruiters are often members of an association which share resumes and information on qualified candidates and it is not unusual for a firm to forward a resume to another firm specializing in functions or industries more in line with a candidates background. Most contingency recruiters are highly ethical and will respect a can- didates need for confidentiality. However some firms make it a practice to broadcast or float resumes to as many firms as possible in the hope of getting a match. Retainer recruiters normally handle assignments for higher levels of management and they generally have a more professional reputation. Contingency recruiters handle a wider range of situations and can provide much greater exposure. In order for the job-seeker to get into the executive search process, it is necessary to send a cover letter and resume to the search firm. Both large and small firms are inundated with unsolicited resumes. Still most recruiter scan each one hoping to find candidates to fill their assignments or to file for future use. Most recruiters can scan a resume in 30 to 60 seconds, discarding those that don't immediately answer key questions. To guard against your resume getting pitched, make sure you know what rec- ruiters are looking for. If your resume answers the following questions, it's likely to be read: (1) What is your current or most recent job? Put this on the first page and describe your job fully if the title is deceptive. Make sure there's no room for confusion. The acid test is whether someone who knows nothing about your industry or function can get a basic under- standing of what you do for a living in 30 seconds. Don't use company abbreviations, acronyms and jargon. (2) What company are you with? In dealing with retainer search firms always include your employer since company identity is a key factor in evaluating credentials, and job content is meaningless unless it's related to a specific company. Even if your employer is a client of the search firm, retainer recruiters will maintain your confidentiality. In dealing with contingency search firms, confidentiality may be an issue so we recommend that you include an accurate description of the firm in lieu of the actual name. For example: Fortune 500 Corporation, National Drug Chain, etc. If you're unemployed, state your last employer. In today's economy being unemployed isn't viewed negatively. If the company isn't well known or it is a unit of a larger organization, include a brief exp- lanation of its business. (3) What's your industry and functional expertise? For certain types of positions, especially line management, engineering, and computer spots, specific industry or function knowledge is often a critical specifi- cation. For staff positions, industry knowledge may be less important than special skills or experience. (4) What is the size of your organization? Search firms always want to know the size of your most recent company, group, department and staff since many specifications relate to those factors. (5) What is your compensation? Always be sure to supply recruiters with your present or most recent compensation (including breakdown if more than straight salary) and the minimum compensation you would consider. In determining your salary include cash compensation only and do not include an estimated cost of your benefit package. (6) What is your position on relocation? Always include your relocation preferences or restrictions. Common Mistakes The following are a few rules of cover letter and resume writing that can help you avoid severe mistakes: 1) Strive for clarity in your writing and format your resume clearly. The reverse-chronological resume is the best way to convey this information. 2) Limit personal information to martial status, family and meaningful outside activities. Mention your participation in professional committees, awards and senior level non- profit or community work. Save personal interests for a face-to-face meeting. 3) Don't be informal. Don't start your cover letter with the words: "Good morning" or "How are you today?" or "Can we talk?" Don't address the recruiter by his or her first name in your letter. Watch your language. Don't start your cover letter with a bang, i.e "Are you looking for a marketing superstar?" It's better to error on the boring side than to be too promotional. 4) Don't send your resume or cover letter on company stationary. Don't use colored paper such as chartreuse, orange, brown or gray. They give the wrong impression and they don't copy well. 5) Don't use gimmicks. While they may work well for people looking for jobs in the advertising industry, they work against you for corporate posts. Don't tape a quarter or a dollar bill on your cover letter; don't send a computerized resume on a disk and don't send your resume in a file folder with your name. Never send photographs. 6) Never over state your educational credentials or inflate your degrees. 7) Don't include attachments, articles and bro- chures. Don't send your present company's annual report. 8) Don't send references. 9) Don't forget to staple all your pages together. Our view is that job-seekers should adopt one of two strategies when dealing with search firms. The first strategy is to contact as many retainer and contingency search firms as possible to obtain maximum exposure. Every job-seeker is a qualified candidate for some position, somewhere, and the individual needs to contact as many informed parties as possible to find these positions. This strategy is particularly suit- able for junior, middle and unemployed managers and executives. The second strategy is to target and contact retainer and contingency rec- ruiters that specialize in the functions and industries that best fit your background, qualifications and salary requirements. This approach is particularly suitable for middle and higher level managers and executives. It is the only approach we recommend if you are presently employed. Other Agencies Public Employment Agencies. All states have a Department of Labor or a Bureau of Employment Security with offices located in major cities. They list job openings from many employers, including professional jobs. Many offer workshops in resume writing, job search skills and interviewing techniques. These offices may also provide career counseling. In addition, they offer a computerized job bank which lists openings from around the country. All services are free. Many Job Search support groups such as 40 Plus exist to provide networking support, career counseling, workshops, job leads and other services to members. Services are usually low or no cost to members. Direct Mail Direct Mail campaigns are conducted by sending resumes or letters to your target companies. If you send a resume, you may want to customize it for each company you contact but generally this approach is only used by senior executives or individuals with a short list of target companies. Always compose a cover letter that appears to be individualized for the company. Send your resume or letter to the person in the company who has the authority to hire you. Be sure to get the name, with the correct spelling and pronunciation, and the title of the person you are planning to contact. If you do not get a response within a week, try to call the person. If you want to be considered for a high level job in a company, contact the CEO or senior vice president. If you have an area of expertise, contact the division manager of the department in your special area. At smaller companies, contact the vice president or manager. If you were referred or obtained the information about whom to contact from someone you know, be sure to ask that person for permission to use their name. It always helps to say, "Dave Thomas or "Bill Gates suggested I contact you ...." A few books on the subject suggest that the best approach is to conduct a through and extensive research campaign on each company of interest and create a detailed report on your value to the company. One guide goes as far as suggesting you include retired employees in your company research. This type of advise is theoretically sound as the more you know about a company the better able you are to identify the contributions you can make to the company's goals and objectives. From a practical standpoint the opportunity cost of conducting this type of research is much too high for all but the most senior executives. Defer this type of research until a company has expressed an interest in interviewing you for employment. Since a resume sent to a Company is generally retained by the manager or Human Resources department, a mass resume mailing should be undertaken early in the job search campaign. Don't expect many firms or managers to acknowledge receipt of your resume. Employment Advertisements Employment advertisements are immediate opportunities. Respond to any and all ads that meet your qualifications. As a general rule most of the mail responses arrive two or three days after the ad was run so it better to time your response to arrive a day or two after the crush of mail. Use your word processing software to create a customized cover letter that matches your background to the specific requirements in the advertisement. You can type each cover letter individually or you can set the various mail merge, macro key options in the software to generate a customized, ad specific, response automatically. If you anticipate responding to a large volume of ads automate the cover letter generation process. Be sure to keep a copy of all employment advertisements you respond to along with a few notes as to date, source, resume and cover letter version. You may get a call from the company long after you have forgotten the specific ad and response. Be familiar with the newspapers in cities where you want to work. Find out which sections carry the want ads and on what days they appear. The National Business Employment Weekly has a compilation of the previous week's want ads from the regional editions of The Wall Street Journal. When responding to ads use the Wall Street Journal as the source not the NBEW. The National Ad Search and the American Employment Weekly are compilations of executive, professional, technical and managerial opportunities from major metropolitan newspapers. This is not to say that you can't find search related information on many more systems but often the information is very limited, out of date or narrowly focused. A variety of different types of employment related information and services are available online including job postings, resume databases and confer- ences, discussions devoted to the search process, and numerous texts, tools and programs designed to help you minimize the time, effort and expense of finding suitable employment. JOB POSTINGS Historically the majority of jobs listed online have been technically oriented and engineering and computer related positions still represent the majority of postings. Today the nature and number of online job listings is broadening to include a wide assortment of occupations. Job listings are usually available in one or more of the following formats: 1) compressed files containing numerous individual job ads that can be downloaded 2) A job database can be searched on the basis of selected criteria and the results of the search can be viewed or down- loaded 3) Individual jobs titles can be selected and viewed 4) Job postings contained in the various message conferences that can be viewed online or downloaded using a mail door. We have a very strong preference for downloadable files containing numerous job postings. In our view searchable databases have the following limitations: 1) The size of the database, the number of positions available and the age of the postings is often unknown 2) It is impossible to conduct a through and comprehensive search without knowing the codes and abbreviations used in the individual job postings. Most search software relies on exact text match. If you are searching for "Accounting" and the database uses "Acctng" the search will fail to produce any matches. 3) A variety of titles are used to describe the same or similar positions. 4) Time spent online can be expensive and in this age of high speed modems it is usually faster to download an entire database than it is conduct a through online search. For example, the entire federal jobs listing can be downloaded in less than 20 minutes. RESUME DATABASES Resume databases are used by companies and executive recruiters as a means of sourcing candidates. Resume databases generally fall into one of three classifications: 1) Very large dedicated commercial databases operated by independent firms that register people in their database and then permit registered clients to to draw from the database when searching people to hire. 2) Smaller less formal systems generally open to all comers where you can get your resume included free or by paying a small listing fee. Access to some databases depends on you occupation or your membership in a pro- fessional association. 3) Company or recruiter sponsored databases for the exclusive use of the sponsoring organization. The level of sophistication may vary but all resume databases are searched on the basis of targeted keywords. Database clients specify work experience, skills, geographic areas, educational and professional degrees and other attributes and qualifications and the search software produces a list of the resumes matching the specified criteria. Resume databases offer job seekers several benefits 1) Increased exposure. You have the ability to put your resume and qualifications before an enormous number of employers. 2) Extremely cost effective. Listing your resume in a database is much cheaper than the expense of mailing resumes. 3) Speed. You can upload your resume to a service in a matter of minutes and client companies can access your resume quickly. MESSAGE CONFERENCES An echo mail network is a collection of bulletin board services that join hands to form an electronic mail system. You leave mail on a single system and it is sent (copied) to another system in the network. That system in turn sends your message-adding its own messages-to yet another system and so on until every system in the network is sharing your messages with its users. Most echo mail networks consist of various conferences. An echo mail conference is simply a group of topic related messages. Some of these these networks, particularly Fido and JobNet, carry job postings, resume, and discussion conferences. A variety of Internet (Usenet) newsgroups are also employment/job search related. FIDO is the largest of the echo mail networks. It is available on 1000s of systems across the USA and in many foreign countries. It has two nationally distributed employment related conferences; JOBS and JOBS- NOW. JOBS-NOW is reserved for the posting of positions available and resumes, discussions and any other type of non-job message are not welcome. Since this network/conference is so widely distributed and has such a high volume of mail it is an excellent source for job information particularly in the MIS DP functions. The JOBS conference is for job search discussion. A few cities have local or regional FIDO conferences in addition to the national conferences. Distribution of these conferences is limited to the FIDO systems in the local area. For example the Dallas/Ft. Worth area has DFW-JOBS. The conference rules are set by the moderator so read the message base or ask the moderator before entering a message or resume. JobNet is a relatively new echo mail network that is carried on 100s of systems across the USA. The Network is devoted exclusively to the job search process and all of the conferences are directly related to job postings, resume postings, or job search discussion. The message traffic in JobNet is not high but it is popular with some of the larger employment systems so it gets attention from companies and recruiters. The conference structure is well designed with conferences for posting specific types of positions and resumes and it does not suffer from many of the high volume-bad organization problems of FIDO Jobs and Jobs-Now. The Internet is an international network that includes virtually every major computer site in the world, and connects more than 8,000 networks spanning the globe. For job seekers, the Internet offers numerous conferences devoted to job postings, search discussion and countless opportunities to make a connection with employment by posting resumes to relevant "news- groups" Technically the only way to gain direct access to the internet is through an internet service provider however the Executive Connection and a few other systems offer indirect access to various newsgroups. Hundreds of other echo mail networks exist and many have conferences devoted to job discussion, postings of available positions and/or the posting of resumes. We don't have experience with all the available networks so follow these general guidelines: (1) Read the message traffic for several days before you post a message or resume. Some conferences are for job discussion or the posting of positions and do not welcome resumes. (2) Look for and read the conference rules or conference FAQ (Frequently Asked Question) file for information on the network and posting guidelines. (3) Multi-Level Marketing, Business Advertisements, Discount Phone Service Announcements or other messages designed to sell a product or service are not welcome in jobs or resume conferences. Fast Cash, bogus mailing lists or chain letter announcements no matter how cleverly masked will generate hate mail, and warnings from the conference moderator. These types of messages are unwelcome, often illegal and routinely get turned over to the postal authorities. (4) When in doubt ask the conference moderator if a resume or other type of message is acceptable or welcomed. Don't argue with or challenge the moderator. Moderators are usually fair and objective and they have the power to get you removed from the conference. In extreme cases they can get the system you are using removed from the network. (5) If resume postings are welcome service go ahead and post your resume. Keep track of the date you posted the resume and the specific name of the network. The more popular networks are carried on 100s of systems and you don't need or want to post several identical messages to the same conference on several different systems. Sysops have complete flexibility in naming conferences on their system so if you are not sure of the network ask the sysop. (6) Not all resumes are suitable for a resume conference. If the network is devoted to the discussion of medical issues and topics and you are a high school football coach don't post your resume in the resume conference. Before posting to any group, read the news generated there for a few days so you can get a feel for the group. Improper postings can invoke much e-mail being sent to you with comments. Never post resumes or comments in conferences reserved for job postings. Messages entered into an echo or newsgroup are public messages and can be read by all conference participants. If you intend a message to be private correspondence do not enter it in an echo mail conference or newsgroup. Many systems offer e-mail (electronic mail) services. E-Mail is not truly private in that the system operators have access to all messages on the system but messages sent by e-mail are generally not available to the public. SEARCH TOOLS AND PROGRAMS The Executive Connection and many other systems offers numerous tools and services to assist individuals in minimizing the time and effort required to find and obtain suitable employment. A partial listing includes tools to help with resume preparation, organizing search data, interviewing assistance, mailings and managing your time and information. Numerous text files containing employer contact information, job hotline numbers, and other critical information to put you in touch with the proper hiring authorities are also available. A few examples of the many shareware programs available include: Jobhunt (JOBHNT51.ZIP) is a complete Job Search tool that helps with mass mailings by providing a searchable database of company names, addresses, phone, fax, number of employees, sales volume, nature of business etc. Look for Work (LOK4WORK.ZIP) is a step-by-step guide to finding a new job; it has six lessons and more than 20 work sheets, templates and models. Job Guide (JOBGUIDE.ZIP) is a text file on job search strategies for professionals produced by the U.S. Department of Labor. If you are new to the job search process this is an excellent reference. Usually the files found on the online systems are either Shareware, Public Domain or Freeware. Shareware is software which has been prepared by a variety of individuals and companies. The concept governing share- ware is that you "try before you buy." Shareware is above all a unique marketing experiment which operates on the "honor system." If you like what you find and use the program consistently - many shareware authors suggest 30 days, but this is not a firm rule - then you are expected to register the shareware by submitting a fee usually by mail to the author. Public Domain software is a second type of computer software which is not copyrighted and has no other legal restrictions as to use by the general public. The author does not copyright the software and allows it to be copied, used or even incorporated into other software packages since it is part of the public domain available for the common good. Freeware is related to but not the same as public domain software. Free- ware requires no registration fee or reimbursement for use by the public but the copyright is retained by the author who notes a copyright restric- tion within the body or documentation of the software. TYPES OF ONLINE SYSTEMS Employment systems can be divided into five major classifications based on the sponsoring organization: 1) Independent 2) Recruiter 3) State or Local Government 4) Federal Government and 5) Company or Association. Independent boards typically carry information and job listings from a variety of different sources or specialize by occupation or location. The information is updated on a periodic basis and regular calls are required to get the latest lists. Independent boards usually include one or more job related echo mail conference or internet newsgroup. Many independent systems offer a resume database and additional files and programs relating to the search process. The Executive Connection of Dallas, TX is an example of this type of system. Recruiter Sponsored boards normally limit job listings to the current recruiting assignments. They usually offer a resume database and once you upload or send a resume you have been entered into their system. It usually not necessary to call these systems on a regular basis. Recruiter boards normally do not offer mail conferences or additional programs and files. Data Processing Careers of Ft. Worth, Texas is an example of this type of system. State or Local Government boards are operated by state or by local gov- ernments. Information and job listing are usually limited to positions within the government or positions that employers have listed with the state employment commission. These systems rarely include a resume database and periodic calls are necessary to obtain the latest information. The hi-TEC system operated by the Texas Employment Commission is the best example of this type of system. Federal boards are operated by the Federal Government and only include listings of government employment. All the Office of Personnel Management (OPM) systems have much the same information and it is not necessary to call multiple systems. The job vacancy information is updated on a weekly basis so regular calls are necessary to get the latest information. Federal boards do not include resume databases or offer mail conferences. The Executive Connection and a few other Independent systems include the job postings from the Federal boards. The FJOBS BBS in Macon, GA is an example of this type of system. Company or Association sponsored boards are limited to current positions available within the organization. These systems normally include a resume database or a method of contacting the company concerning employment. At the present time most of the company operated systems are sponsored by contract help agencies. We expect this to change in the future as more and more companies use online services as a means of reducing recruiting expenses. It should clearly and concisely reflect your employment history, responsibilities and accomplishments. Advise on "How To Write The Perfect Resume" abounds and every expert has an opinion. Our opinion is that good resumes get read and considered; poor resumes don't. Take the time to properly prepare your traditional resume before you follow the advise in this module. Electronic resumes are different from traditional hard copy resumes. Most of the difference stem from limitations imposed by software and the fact that the resume will, most likely, never be read unless it is found by a keyword search. Despite these differences, you can not create a good electronic resume from a bad traditional resume. Resumes that get acted upon are those that demonstrate your potential as a problem solver. Your resume must speak loudly and clearly of your value as a potential employee. A resume's emphasis is on what happened in your business life, what actions you took to make those things happen, and what supportive personal characteristics you brought to the job. It is about how you contributed to solving a business' problem. It has nothing to do with generalizations or personal opinions and it has nothing to do with how badly you need a job. ONLINE RESUMES For the most part, we are not going to go into detail as to the reasons for most of our electronic resume rules. Most of the rules stem from software limitations, our experience with keyword search, our knowledge of the resume conferences, and some very sound research and advise by the other experts. (1) Use an ascii text editor to create your electronic resume. Word processing software can be used to prepare an electronic resume only if it is capable of saving the file as a pure ascii text file. All control characters (font, tabs, margins etc.) must be completely removed from the text file. You can't assume that your word processor will save the file as a pure ascii text and you can't rely on the formatting to be preserved. If you must use a word processor check the resulting file using DOS Edit, QEdit, or some another ascii text editor. A single control character can make the entire resume unreadable so this rule, above all others, must be followed. Rely on spacing and use of upper and lower case for effective presentation. Avoid using large quantities of ALL CAPS. Normal usage of upper and lower case text is easier to read and is perceived as "friendlier" by most people. Using all upper case is perceived as unfriendly shouting. (2) The left hand margin should be set at 1 or 2 and the right hand margin set at 70 or less. This is due to software limitations that will cause longer lines to wrap or be truncated in the original or if the message is quoted. (3) In order to avoid splitting your resume into multiple messages the length should be less than 150 lines and less than 90 lines is ideal. Only senior level executives should require more than 150 lines for a resume. (4) Electronic resumes should contain a summary of key words near the beginning of the document for keyword search purposes. In the online environment humans usually don't see the resume unless it is first uncovered by a software search process. See the following discussion on keyword resumes. (5) Maximize the use of industry jargon and standard abbreviations. Minimize the use of general abbreviations and when in doubt spell it out. Don't use jargon that is specific to a particular company. Recruiters use standard industry jargon to search resumes. (6) Use spaces to separate words. Do not use "..., /, ( ), ___ --- or | " as they can confuse the search software. For example, use "Accounting Finance" or "Accounting & Finance" not "Accounting/Finance." Don't box, bracket or underline sections or sentences. (7) Many resume experts advise using action verbs to describe abilities, but most resume scanning and keyword search systems are for nouns. "Successful, innovative, problem solver" might do well on a traditional resume but it does poorly in a keyword search. Describe your experience with concrete words rather than vague descriptions. (8) Place your name at the top of the page on its own line. Use standard address format below your name. List each phone number on its own line. Date ranges should be on the same line. Include your e-mail address. Every Executive Connection member has a unique e-mail address on the system based on the logon name. The e-mail address is usually: firstname.lastname@execon.metronet.com (9) Don't be creative with formatting, layout or display. Avoid two- column format or resumes that look like newspapers or newsletters. Don't use ANSI color codes or fancy escape sequences that do "creative" things on your screen, since they may cause problems this and on other systems. (10) Professional resume services will not be of much, if any, help in constructing an electronic resume. We checked with a few services, a few acknowledged that they didn't know what we were talking about, a few claimed to know....but didn't. Keyword Resumes A small resume database can contain 25,000 resumes, a large commercial database might contain hundreds of thousands of resumes. The internet newsgroup misc.jobs.resumes has very heavy message traffic and could easily contain 2,000 resumes in a month. Most companies and recruiters search the database or message subjects to find the resumes they are interested in reading they do not read every resume. A good electronic resume serves two purposes: 1) It must be easy to locate using typical search commands and 2) once located it must convey all the right values, images, concepts etc. described in the "How to write the perfect resume" books. The best way to address both purposes is by adding a special keyword section to the beginning of your traditional resume. Key words are nouns and abbreviations that describe your company, industry, occupation, career experience, education, specific skills; the labels that describe you and the words likely to be used by companies and recruiters when searching a database. Help wanted advertising is an excellent source of key words. Look for the nouns that employers use to describe the type of position you are seeking. Compare the help wanted nouns and any additional nouns that you think a computer might use in a search with a list of nouns found in your resume. Adjust, modify and rewrite accordingly. Use common abbreviations and standard industry jargon in the keyword section of your resume and spell out the words and the details in the body of the resume. For example a keyword section for a Vice President of Human Resource might contain the following: William Jackson 1905 Elm Street Metroplex, Texas 75825 214 306-3393 w.jackson@execon.metronet.com KEY WORDS HR Personnel Compensation Benefits Arbitration EEOC AAP Negotiation Dispute Employment Recruiting 401K AHRSP MBA BSBA TX Manufacturing Fortune 500 Pension Defined Benefits Outplacement Mediation International Training & Development VP Staffing Start Up Telecommunications Wire & Cable Cans Glass Fabrication HRIS Resumix Senior Harvard OD JD Sysop Director Keyword abbreviations should be spelled out in the body of the resume. Don't take it for granted that abbreviations are standard. A recent search of misc.jobs.resumes uncovered the following abbreviations for PhD: PhD PHD Ph.D PH.D/major Ph.D(major) Ph.D-major PhD major P.h.D. Common abbreviations for schools, colleges and universities are even more confusing. UT might be University of Texas but it could also be 25 other schools. A resume entered into an echo mail conference, an internet newsgroup or even a database can travel a very long way so when in doubt spell it out. Subject Headers The following guidelines are important when entering a resume into any echo mail conference but they are particularly important when entering a resume into misc.jobs.resumes. The amount of message traffic in this newsgroup is very heavy and recruiters and companies rely on search techniques to find the resumes they are interested in reading. If your subject header doesn't contain the keywords specified in the search your resume will not be found. The amount of space available in the subject line will vary depending upon the system and the type of conference or newsgroup. You rarely have more than 70 characters available and often are limited to 25 characters. Since the amount of space in the subject line may be restricted to a very few characters and you need to attract attention to your resume you must have a very concise statement of the subject. The subject line should indicate functional area of expertise, senior organizational level or leave blank, location if you are not willing to relocate or if it unlikely a company would be willing to relocate for this type of position, degree abbreviation if recent graduate or if seeking a position typically requiring an advanced degree. MIS DP people should indicate special skills or skills in high demand (C++, UNIX etc.). You don't need to waste the few characters you have available in the subject line with verbs or any of the following terms or characters: resume, seeking, with, challenging, rewarding, motivated, name, help, job, career, position, specialized, the name of your college or university unless you have a recent degree from a school recognized as a leader in a course of study (Harvard MBA is acceptable...BSBA State University is not acceptable), junior or entry level. Don't use the following characters as part of the subject line: *, /, >, !, ( or ), ., & , or any other fancy characters that tend to fool search software. Use standard industry or academic abbreviations and don't use dots. It is CPA not C.P.A. or MBA not M.B.A. Use "-" only when designating location: TX-DFW or CA-San Jose or IL-Chicago. JOHN FRANKLIN BREN JR ATTRACTIVE YOUNG WOMEN SEEKS CHALLENGING POSITION RESUME DATABASES Now that you have the perfect resume for the online environment, it is important that you understand a few key differences between a resume database and an echo mail conference or internet newsgroup. Resumes entered into newsgroups or echomail conferences are copied to hundreds or thousands of different sites around the world. You can't control the distribution of an resume entered into a newsgroup and it may end up in strange and interesting places you never imagined or intended. A relatively few of these sites may archive and save resumes in a database but for the most part resumes entered into conferences or newsgroups have a useful life measured in days, not years. If you don't get an inquiry or response within 90 days the chance of getting a response to the posting are slim. Resume databases are fixed locations. Once you send or upload your resume into a database it can only be accessed by clients or users of the service. Your resume is not normally copied or moved to other sites with different clients or users. Each resume database service from the smallest database found on a BBS to the largest commercial system will have rules, guideline, and procedures on the proper use of the service. The rules will vary depending on the service but it is very important that you follow the instructions and guidelines. What may work for one service may not be suitable for another. Generally the larger the database the firmer the rules. Each service will have a policy on resume retention. Some services may save the resume for several years while others may have a much more limited retention period. Resume databases are used by companies and executive recruiters as a means of sourcing candidates. Resume databases generally fall into one of three classifications: 1) Very large dedicated commercial databases operated by independent firms that register people in their database and then permit registered clients to to draw from the database when searching people to hire. 2) Smaller less formal systems generally open to all comers where you can get your resume included free or by paying a small listing fee. Access to some databases depends on you occupation or your membership in a professional association. 3) Company or recruiter sponsored databases for the exclusive use of the sponsoring organization. As an independent job seeker you can generally gain access to large commercial systems by mailing or faxing your resume or a standardized form to the database service. The service then enters the information into the system and retains it for a fixed period of time. Smaller, less formal systems can usually be access by modem or e-mail and your resume is usually entered into the database by uploading an ascii text file or by entering the data while online with the service. The level of sophistication may vary but all resume databases are searched on the basis of targeted keywords. Database clients specify work experience, skills, geographic areas, educational and professional degrees and other attributes and qualifications and the search software produces a list of the resumes matching the specified criteria. Resume databases offer job seekers several benefits 1) Increased exposure. You have the ability to put your resume and qualifications before an enormous number of employers. 2) Extremely cost effective. Listing your resume in a database is much cheaper than the expense of mailing resumes. 3) Speed. You can upload your resume to a service in a matter of minutes and client companies can access your resume quickly. It is often difficult to evaluate the cost/benefits of entering a resume into a database. Hard data on what percentage of hires resulted from use of a database service does not exist. Services with databases containing few resumes are unlikely to attract the attention of many employers unless the database is highly specialized. Large database services with a high degree of occupational concentration are unlikely to attract companies or recruiters with different occupational needs. All in all it is a bit of a black box; send your resume in and it may die or it may produce your next job. Our view is that job seekers should take advantage of free or low cost services and carefully assess the cost benefit of subscribing to higher priced services. From our own experiences we would certainly recommend that you not join a subscription BBS for the sole purpose of entering your resume in the local database. Commercial Databases The Executive Connection and many other employment systems maintain small resume databases for the use of their members. Use of the database is often free or included in the price of the system membership. Large commercial database systems usually can not be directly accessed by modem. The normal procedure is to mail or fax a copy of your resume to the service along with the registration fee. The service scans your resume and enters it into the database. A popular Internet site for job seekers and employers is the Online Career Center. OCC has a large resume database. You can enter your resume into the OCC resume database by using e-mail and sending your resume as a message to the following address: OCC-RESUMES@MSEN.COM. Resumes at OCC are available for 90 days before being deleted. A number of companies offer to add your resume into the OCC for fees ranging from $ 25.00-$40.00. Do it yourself and save the expense. Most large commercial resume databases are utilizing scanners to input resumes into their computer databases. Because of that, new guidelines are required that will enable firms to scan your resume. Here are a few recommendations that will make your resume "scanner ready:" Use white or light-colored 8 1/2 x 11 paper, printed on one side only. Provide a laser printed original if possible. A type- written original or a high quality photocopy is okay. Avoid dot matrix printouts and low quality copies. Do not fold or staple. Use standard typefaces such as Helvetica, Futura, Optima, Univers, Times, Palatino, New Century Schoolbook, and Courier. Use a font size of 10 to 14 points (Avoid Times 10 point.) Don't condense spacing between letters. Use boldface and/or all capital letters for section headings as long as the letters don't touch each other. Avoid fancy treatments such as italics, underlines, shadows, and reverses (white letters on black background). Avoid vertical and horizontal lines, graphics, and boxes. Avoid two-column format or resumes that look like newspapers or newsletters. Place your name at the top of the page on its own line. Use standard address format below your name. List each phone number on its own line. Include a keyword section. It is best to mail your resume in a large flat envelope to avoid folds or creases that may create problems for the scanner. If you must fax the resume use the fine print mode of transmission. If you transmit your resume by using a FAX card in your personal computer, make sure you see what you transmit. Many resumes sent via fax card have problems (extra characters, missing copy, strange lines, etc.). Also, the format of the received resume is often different than what you think you are transmitting. Try faxing to a friend or local fax number so you can physically see what everyone else sees. RESUME CONFERENCES Hundreds of Echo Mail networks exist and many have conferences devoted to job discussion, postings of available positions and/or the posting of resumes. The three networks that deserve serious attention from the job seeker are JobNet, FidoNet and the various Internet employment related newsgroups. JobNet originates at the Digital X-Connect in Dallas Texas and is carried by 100s of systems across the USA. The Network is devoted exclusively to the job search process and all of the conferences are directly related to job postings, resume postings, or job search discussion. The message traffic in JobNet is not high but it is popular with some of the larger employment BBS boards so it gets attention from companies and recruiters. JobNet has the following four conferences available for resume posting: 1) Professional & Management 2) Technical & Engineering 3) Clerical & Administrative and 4) Miscellaneous Resumes. You can use the appropriate conference to post your resume and in a matter of days it will be distri- buted to systems across the USA. FidoNet is the largest of the echo mail networks. It is available on 1000s of systems across the USA and in many foreign countries. It has two nationally distributed employment related conferences; JOBS and JOBS- NOW. JOBS-NOW is reserved for the posting of positions available and resumes, discussions and any other type of non-job message are not welcome. JOBS will accept resumes but it's primary purpose is job search discussion. Resume postings get lost in the high volume of general chatter so don't expect many recruiters or companies to be using this conference to source employees. A variety of Usenet (Internet) newsgroup are devoted to the posting and distribution of resumes. The primary resume newsgroup is misc.jobs. resumes. Resumes entered into misc.jobs.resumes are distributed to 1000s of sites worldwide. An estimated 50,000 people subscribe to this newsgroup and it gets a great deal of very serious attention from recruiters and companies seeking to source employees. The Executive Connection and other independent services dis- playing electronic help-wanted ads offer a wide assortment of positions but normally the offering depends on the type of system. Independent systems, such as the Executive Connection usually carry information and job listings from a variety of different sources and the information is updated on a periodic basis. Regular calls are required to get the latest lists. Many independent systems also offer various employment conferences and other services for the job seeker. Recruiter Sponsored boards typically limit job postings to the current recruiting assignments. These systems usually have a resume database and once you upload your resume you have been entered into their system for current and future consideration for the jobs they have available. It is not necessary to call these systems on a regular basis. State & Local boards are operated by state or by local governments. The job postings are usually limited to jobs with the government, closely related agencies, or positions that firms have listed with the Department of Economic Security. Information on the state and local government boards is updated on a regular basis and periodic calls are necessary to obtain the latest information. Federal boards are operated by the Federal Government and only include listings of government employment. All the OPM systems have much the same information and it is not necessary to call multiple systems. The job vacancy information is updated on a weekly basis. Some of the independent systems also carry federal employment information from the OPM boards. Company Sponsored boards are limited to current positions available within the organization. The Executive Connection publishes a list of systems offering employment and job search assistance. The most recent edition of the Employment BBS List is included in this program. The list is updated quarterly and the latest edition is always available on the system or by sending an e-mail message to employ@execon.metronet.com. or by calling the system at 214-306-3393 and downloading the file. JOB VACANCY INFORMATION Job listings are usually available in one or more of the following formats: 1) compressed files containing numerous individual job ads that can be downloaded 2) A job database can be searched on the basis of selected criteria and the results of the search can be viewed or down- loaded 3) Individual jobs titles can be selected and viewed 4) Job postings contained in the various message conferences that can be viewed online or downloaded using a mail door. We have a very strong preference for downloadable files containing numerous job postings. In our view searchable databases have the following limitations: 1) The size of the database, the number of positions available and the age of the postings is often unknown 2) It is impossible to conduct a through and comprehensive search without knowing the codes and abbreviations used in the individual job postings. Most search software relies on exact text match. If you are searching for "Accounting" and the database uses "Acctng" the search will fail to produce any matches. 3) A variety of titles are used to describe the same or similar positions. 4) Time spent online can be expensive and in this age of high speed modems it is usually faster to download an entire data- base than it is conduct a through online search. For example, the entire federal jobs listing can be downloaded in less than 20 minutes. CONFERENCE JOB VACANCIES Another very important source for current job postings are the various echo mail and newsgroup conferences. The Executive Connection and a few other systems offer job postings from JobNet, FidoNet and all the employ- ment related Internet newsgroups with any significant message volume. Many of the conferences have a high volume of job postings and should not be ignored by the job seeker. Since a large message base may contain more than 20,000 messages you will need to use the mail door and an offline mail reader to get the full benefit of this resource. A number of easy-to-use mail readers are available for DOS & Windows. On our system we have the employment conferences listed by description rather than by the formal name. Other systems may list the various Usenet newsgroups using the formal titles such as tx.jobs or misc.jobs.misc. JOB SEEKERS Since a call to most of these systems will be long distance we suggest you review the section on conventions for a better understanding of the features of each of the boards listed. Don't overlook the help that might be available on your local boards. Many sysops carry the job con- ferences from FIDO, Rime, Jobnet, Internet etc,. and these conferences can be an excellent source of job information. The best employment board is the one that helps you find your next job. The boards are divided into six main sections: 1) Independent 2) Recruiter Sponsored, 3) State & Local 4) Federal 5) Company and 6) Internet Employment Resources. Independent boards typically carry information and job listings from a variety of different sources and the information is updated on a periodic basis. Regular calls are req- uired to get the latest lists. 2) Recruiter Sponsored boards typically include a resume database and once you upload your resume you have been entered into their system for current and future consideration for the jobs they have available. It is not necessary to call these systems on a regular basis. 3) State & Local boards are operated by state or by local governments. Information on the state and local government boards is updated on a regular basis and periodic calls are necessary to obtain the latest information. 4) Federal boards are operated by the Federal Government and only include listings of government employment. All the OPM systems have much the same information and it is not necessary to call multiple systems. The job vacancy information is updated on a weekly basis. Some of the independent boards also carry federal employ- ment information from the OPM boards. 5) Company Sponsored boards are limited to current positions available within the organization. 6) Internet resources includes a variety of different types of employment related information. National focus means you will find positions available nationwide. Regional focus means that the positions are generally limited to the section of the country in which the board operates. Local focus means that the positions are generally limited to the metro area in which the board operates. A National focus always includes regional and local positions. If the jobs are generally limited to a particular function or industry this information is noted. FEES: Free or Required ANY charge for FULL system access and the board is designated as fee required. FILES: Only job search and employment related texts and files are considered. The age and utility of the files are also a factor. This entry does not refer to job vacancy lists and files only to employment and search information and tools. The classifications of limited, good and extensive are subjective evaluations. CONFERENCES: Only job search and employment related conferences are noted. Conferences designated as Local are not echoed outside the system to other boards.
